Handling pays is complex and many payroll systems actually reduce the
productivity of the people using them.
With this in mind, we designed our system to improve the
productivity of the people preparing your pays.
Avoid Errors
Errors in handling pays can be time-consuming to rectify and may give your employees
a negative feeling about your business.
Our system traps many potential errors while data is being entered and
provides reports to help your operators ensure that pays are correct before they are processed.
Entering Data
Depending on your requirements, one of the following will let you enter data quickly and accurately.
Timesheet Entry
You enter the start time, finish time, break and job (if applicable).
The system calculates the elapsed time, RDO time (if applicable), overtime and allowances.
Leave, deductions, etc can also be entered from this screen as required.
Fast Pay Entry
If you do not need the system to calculate elapsed times, etc., this screen
lets you enter details of the pay categories that will normally be entered for employees.
Pay Line Entry
This screen displays a summary of pay details that have been entered.
It lets you check for employees who have not been paid and enter details of
infrequently used pay categories.
Editing Records
All data for a pay can be edited or deleted while a pay is open.
Once a pay is closed, the integrity of your data is protected by
ensuring that it can no longer be changed.
Reducing Complexity
The keys to simplifying a complex system were to:-
- Group similar data together to reduce the choices that an operator must make.
For example, employee groups contain details about:-
- the basis of employment,
- hours worked per week,
- RDO arrangements if applicable,
- Allowances.
- Centralise data on which employees are paid – e.g award or similar arrangement
- Make data date-driven where appropriate – e.g. tax and wage rates.
Handling Leave
This critical area is frequently not handled well!
We have addressed this by ensuring that:-
- Reports clearly show how entitlements are calculated together with the available balances,
- Details of leave history (accrued and/or taken) can be viewed or printed as required, and
- Leave balances are provided as part of the process of recording termination of employment.
